Our client is seeking an Assistant Controller to spearhead the financial operations of their Legal Services company. This role encompasses a range of responsibilities, from overseeing customer invoicing and billing support to managing vendor payments, receivables, and payables. The Assistant Controller is entrusted with the creation and monitoring of budgets for the firm and its various departments, along with responsibility for monthly and year-end closings, and the maintenance of comprehensive financial performance reports. Moreover, the Assistant controller will ensure seamless service delivery-to-cash processes, cultivate and manage reliable vendor relationships, maintain cash flow, and conduct profitability analyses.

Key Responsibilities:

Billing and Receivables:

  • Streamline and regularize client invoicing to optimize the efficiency of our services-to-cash cycle.
  • Exercise judicious management of billable expenses and curtail company disbursements.
  • Vigorously manage accounts receivable, minimizing days-to-pay through persistent collections efforts across all business segments.

Vendor and Payables Management:

  • Proactively source and onboard new vendors while enhancing existing relationships.
  • Prioritize payables and monitor vendor costs to ensure fiscal prudence.
  • Collaborate with payroll and oversee 1099 distribution, ensuring timeliness and accuracy.
  • Deliver regular disbursement reports to the CEO, tracking historical and projected spending to identify cost-saving opportunities.

Monthly and Year-End Closing:

  • Execute meticulous reconciliation and closure of accounts and financial records on a monthly basis.
  • Effectuate necessary journal entries and accounting adjustments.
  • Update deferred revenue, prepaid, amortization, and depreciation schedules.
  • Oversee year-end tasks to expedite the closing of books and facilitate tax preparations.

Financial Performance Reports:

  • Provide and maintain financial performance reports for the CEO and Practice Managers.
  • Support the CEO with in-depth financial analyses encompassing business operations, costs, pricing, budgeting, projections, and P&L assessments.

Job Qualifications:

  • A minimum of 10 years’ experience in Financial Operations and Accounting, preferably within a services-oriented business environment.
  • Proficiency in preparing, examining, and analyzing financial reports, including P&L and Balance Sheet assessments.
  • Exceptional organizational, oral, written, and interpersonal communication skills.
  • Proficiency in QuickBooks, MS Office (Word, Outlook, Excel – with PowerPoint proficiency being advantageous), and Adobe Professional for high-quality PDF manipulation and markup.
  • Familiarity with Project Management Software; training provided for SpringAhead and Salesforce.com.
  • Ability to adapt positively to shifting demands and opportunities, adeptly managing multiple tasks under tight deadlines.
  • Aptitude for translating policies into daily financial operational routines.
  • Background in Legal Services considered a plus.

Education:

  • BS/MS degree in finance, accounting, or a related field.
